KC BillingGST bill format for a hardware shop
What has to be on a GST bill, in the order it appears on the page, with a sample from KC Billing.
A sample bill
At the top
- The words "Tax Invoice".
- Your shop name, address and GSTIN.
- Bill number. A running series, unique within the financial year, not longer than 16 characters.
- Bill date.
- Customer name and address, and the customer's GSTIN if they are registered.
- Place of supply, with the state name and code. Telangana is 36.
For each item
- Description of the item.
- HSN code.
- Quantity and unit: pieces, kg, metres, sq ft.
- Rate and total value.
- Discount, if any, and the taxable value after it.
At the bottom
- GST rate and amount, shown as CGST and SGST for a customer in your state, or IGST for a customer from another state.
- Grand total, and the amount in words.
- Whether reverse charge applies.
- Signature of the shop owner or an authorised person.
Bills that are not tax invoices
If your shop is under the composition scheme, you issue a Bill of Supply instead. It carries no GST columns, and you cannot charge GST on it.
An estimate or quotation is not a tax invoice and should say so clearly.

Is HSN compulsory on a hardware shop bill?
For a GST-registered shop, yes on bills to registered customers. The number of digits depends on your turnover. Ask your CA what applies to your bills to unregistered customers.
Can I give a bill without GST?
KC Billing makes both GST and non-GST bills. Which one you are allowed to issue depends on your registration, so check with your CA.
Can I put my logo on the bill?
Yes. Your logo and letterhead print on every bill and quotation.
